Practice management software for psychologists

For psychologists in private practice who want the diary, the note and the invoice on one client, with the front desk kept out of the record.

Psychologists in private practice in South Africa need a record that would make sense to the HPCSA, a diary that matches that record, and a way to be paid without pasting the formulation into an invoice. Practice management software for psychologists is that set of jobs in one system, or it is three subscriptions and a weekly copy-and-paste. This page is the first kind.

Reach + Within is from R500 a month per clinician. Admin users are free. Medical aid claims are coming soon. If you need scheme submissions this quarter, do not buy on a promise. Bookem’s comparison shows a South African product that publishes medical workflows now.

The clinical record

Within holds the client file: history, assessment, treatment plan, session notes and documents. You can write the note yourself. If the client consents, Assist drafts from a recording and you sign. The draft is not the record until you say it is. Assist does not diagnose. Consent, in POPIA terms, is discussed in POPIA and therapy notes. The recording checklist, shared with UK GDPR, is recording sessions.

HPCSA Booklet 9, in the September 2022 text we read, expects a real patient health record and sets retention periods, including at least six years from dormancy where indefinite electronic storage is not practical, with longer periods for minors. Those clauses are quoted in how long to keep therapy records. Put your actual period in the client notice. The software will not choose it.

Notes should be ones the client could read. SOAP and DAP are two formats with fictional examples. Use one consistently. Outcome scales are coming soon, so a paper measure stays a paper measure until that ships.

The practice around the hour

Reach takes the enquiry, opens the file on onboarding, and keeps the calendar and the invoice on the same person. A practice manager can book and bill and cannot open the note. That is the ordinary privacy failure in a small psychology practice: the person who sends the statement can also read the session. Roles close it, and the audit trail shows who opened what. Sign-in with a second factor is coming soon.

Families sometimes want an update. Share an approved report, not the file. A secure family report link is for that.

Client data is hosted in the EU (Netherlands). You remain the responsible party for POPIA. Say so in the notice. We do not claim a certification.

Who should look elsewhere

A solo psychologist who wants the lowest published South African entry price, or electronic prescriptions and a medical-plan workflow today, should read Bookem’s pricing page and our comparison before a trial. A psychologist inside a hospital should use the hospital’s record. A colleague who only wants a free AI scribe next to an existing diary may be better with a scribe product than with a full practice system.

If the problem is the triple entry of the same client, start a trial with demo clients for 30 days, or watch the demos. Pricing detail is on South Africa pricing. Registered counsellors and social workers have their own pages, because the work is not identical: registered counsellors and social workers.

Before you move a real file across, export a sample from the trial and see whether your existing letters still land as documents you can find. Bulk migration is quoted separately because the quality of old records varies. A tidy PDF is not the same job as a decade of mixed files. The South Africa home is the short map of who these pages are for.
