Therapy practice management software is the system that runs the practice around the clinical hour: the enquiry, the booking, the note, the invoice, and the people who must not see the note. In the UK that market is crowded with solo tools and with large allied-health products. This page is about what a connected system is for, who it suits, and where a simpler or cheaper product is the honest choice.
Reach + Within is sold as one practice system. Reach is the front office. Within is the clinical record. The UK price for therapists and group practices is £60 a month per clinician. What “practice management” should cover
A therapist who is also the receptionist and the bookkeeper feels the gaps first. A new client emails. The address is typed into a diary. It is typed again into a notes document. It is typed a third time onto an invoice. None of those copies knows the others. When the client changes a phone number, two of the three are wrong.
Practice management, in the sense that matters clinically, means one client. The enquiry lands in a pipeline with an owner and a next step. Onboarding opens the clinical file already filled in. The session is on the calendar. The invoice refers to the session without copying the note into the billing screen. A PA can do the booking and the billing and still cannot open the record.
If a product does notes brilliantly and leaves the diary in another subscription, it is notes software. That can be the right buy. It is not practice management. The page on clinical notes software is the narrower question. This page is the wider one.
A normal week in a UK practice
Monday morning is often the waiting list and the people who wrote over the weekend. A fair list has a next contact date, not a colour only you understand. The guide on running a therapy waiting list is the policy. The software should show the date and the owner.
Midweek is sessions. If the client has agreed, Assist drafts the note from the recording and you sign it. If they have not agreed, you write the note. Either way the note is on the same file as the booking. AI session notes sets out the consent order. SOAP and DAP are two formats if you want a structure.
Friday is money. Invoices, payments, statements and aged balances sit in Reach. The PA sees amounts, not formulations. That separation is the point of roles and an audit trail. Because the invoices live in the system, they are not only on one laptop.
Outcome scales are coming soon. Do not buy this system today because you need a live PHQ-9 graph. Buy it if the enquiry-to-invoice path is the problem you actually have.
Group practices and solo clinicians
A solo counsellor can use the same system. You will not use every rehab feature, and you should not pay for staff you do not have: the price is per clinician, and admin users are free, so a bookkeeper does not need a clinician seat. A group practice uses the shared pipeline and the shared calendar, with each clinician’s notes closed to the front desk. That is described on group practices and therapists.
