Counselling software for UK counsellors and therapists

The enquiry, the session note, the booking and the invoice on one client. Built for counselling practices, not for a boardroom feature list.

Counselling software, in the way UK counsellors search for it, is the system that holds the week: the person who enquired, the session in the diary, the note after the hour, and the invoice that follows. A notes app can be excellent and still leave the booking in one place and the payment in another. A diary can be excellent and still leave the clinical record somewhere the practice manager should not be reading. This page is about that whole path for counsellors and therapists in the United Kingdom.

Reach + Within is one practice system. Reach is the front office: enquiries, onboarding, bookings and invoicing. Within is the clinical record: assessments, treatment plans, session notes and outcome scores. The handoff from the enquiry to the client file is one step, so the name, the contact details and the reason for coming are not typed a second time. A counsellor in sole practice can ignore the parts built for a larger team. A group practice uses the shared pipeline and the shared calendar, with each clinician’s notes closed to the front desk.

What the counselling week actually needs

Write down a normal week before you compare products. Who takes the first enquiry? Who offers a time? Who writes the note, and in what format? Who sends the invoice? Who must never open the note, even if they can see the diary? If those jobs live in three products, the software question is not “which notes app is nicest”. It is which system stops the triple entry.

Counselling software should let you do five things without leaving the client:

  1. Record the enquiry and the next step, including a waiting list with an owner and a date.
  2. Book the session on a calendar the counsellor and, where you have one, a PA can both see.
  3. Write the session note, or review a draft, and sign it.
  4. Invoice for that session without opening the clinical record to do it.
  5. Export the record if you leave.

If a product cannot do one of those, name the second product you will still be paying for and using. That second product is part of the decision.

Notes the counsellor still signs

Within holds the client file: the assessment, the treatment plan and the session note. You can write the note yourself, in SOAP, DAP, or the format you already use. Recording is optional. Where the client has agreed, Assist can draft a note from the recording. The draft is not the record. The counsellor reviews it, edits it and signs it. Assist does not diagnose and it does not sign.

Process notes and session notes are not the same thing. The session note is the clinical record. A private reflection can still be personal data. The practical difference is set out in process notes and session notes. Formats, with fictional examples, are in SOAP notes for counselling and DAP notes.

Admin, finance and a PA can book and bill. They cannot open the clinical note, even with a direct link. That split is the test many counsellors run on the first day of a trial: can the person who invoices see the diary and not the session? If the answer is no, the product is the wrong shape for a practice that has any help with admin.

Bookings, enquiries and the invoice

Reach keeps the pipeline. A new enquiry has an owner and a next contact, which is also how a waiting list stays honest. When the person becomes a client, the file in Within opens with what Reach already holds. The booking and the invoice refer to the same client. You are not reconciling a name spelled three ways on a Sunday night.

We do not claim a finished two-way link with an outside calendar, and we do not claim a live link to an accounts package. If those are the requirement this year, say so in the trial and read the comparisons before you move a real record. What we do claim is the path from the first message to the signed note and the invoice, in one place.

Outcome scores sit on the same file. PHQ-9, GAD-7, AUDIT and the other scales included in the product can be completed by secure link and charted for the clinician. The public calculators on this site are a separate thing: PHQ-9, GAD-7 and AUDIT run in the browser, store nothing, and are a screening tool, not a diagnosis. They are there so a counsellor can see the bands. They are not the client record.

UK GDPR and where the record sits

Client data for Reach + Within is hosted in the EU (Netherlands). A UK practice can usually appoint a processor in the EU, because the UK has an adequacy decision for the EU, and the processor contract still has to be in place. The longer explanation is EU hosting and UK GDPR. We do not claim a certification. Compliance also depends on the practice: the client notice, the lawful basis, consent where you rely on it, and how long you keep the record. GDPR and therapy notes is the practical overview, not legal advice.

Recording needs its own consent, stored on the file before anyone turns a microphone on. The checklist is recording therapy sessions. If the client says no, you write the note yourself and the session still happens.

Who this is for, and who should look elsewhere

Buy counselling software of this shape if you are a counsellor, psychotherapist or therapist in the UK, on your own or in a group, and the pain is the gap between the enquiry, the note and the invoice. Buy it if clinical privacy between the person who bills and the person who writes the note is a requirement you will test, not a slogan.

Look elsewhere if you only want a scribe beside a diary you already like. The comparison with Heidi is for that decision. Look elsewhere if you want a long-running allied-health diary and you are content to keep notes in the way that product already does: Cliniko, WriteUpp, Zanda (the product many people still call Power Diary) and Carepatron. A US product built around insurance billing is a different shortlist: SimplePractice. The 2026 roundup is best practice management software for therapists in the UK.

Rehabs and treatment centres are not a counselling seat stretched to a ward. Admissions, nursing, family reports and inspection packs are a quote, described on rehab software. If that is the work, start there.

How to try it without moving a real client

The trial is 30 days, with demo clients, and no card. Request it on the contact form. Use the trial to run one enquiry, one booking, one note and one invoice, then export. If you cannot leave, the monthly fee is not the only cost. The wider product page is therapy practice management software. The note-first page is clinical notes software. The checklist that names other vendors, including where they fit better, is how to choose practice software.

Software that holds the counselling week in one place: the enquiry, the diary, the session note and the invoice. A notes app or a diary on its own is only part of that.

Can admin staff read the counselling note?

Not in Reach + Within. PA, admin and accounts roles can book and bill. They cannot open clinical notes, even with a direct link.

Is there a free trial?

Yes. 30 days, with demo clients and no card. Request it on the contact form. Nothing charges automatically at the end.

Try it with demo clients.
