Best practice management software in South Africa (2026)

A shortlist for private practice in South Africa. Medical aid claims in Reach + Within are not live. No fee table on this page.

Updated 13 October 2026.

This is a buyer’s guide for psychologists, registered counsellors, social workers in private practice, and group practices in South Africa in 2026. It names Reach + Within, which we sell, and it names other products. If another product fits the week you actually run, buy that product. This guide does not list fees. Read each vendor’s own page, and read our South African pricing page, before you decide. Where a comparison has a dated check, the link is below. Confirm it again.

We do not claim HPCSA endorsement, POPIA certification, or SACSSP endorsement. Software does not make a practice compliant. Your notice, your role as responsible party, and your retention period remain yours. The practical map is POPIA and therapy notes. It is not legal advice.

Medical aid claims are a common reason South African practices start a search. In Reach + Within they are coming soon. They are not live. If scheme submission is the requirement this year, do not buy us for it. Say that at the start so the rest of the guide is useful rather than hopeful.

Decide the week before you decide the brand

Five questions, for every product including ours.

  1. Where does a new enquiry sit, and who owns the next contact?
  2. Can a receptionist or practice manager invoice without opening the session note?
  3. Where is the client record hosted, and what will you tell the client about a cross-border transfer?
  4. Can you export if you leave?
  5. If you need medical aid claims, electronic prescriptions or a statutory social-work register, does this product actually do that today?

A booking page that cannot hold a signed note is the wrong buy for a psychologist who is tired of two systems. A foreign insurance tool is the wrong buy for a practice that invoices in rand and answers to POPIA. A counselling record is the wrong buy for a child-protection register. Match the product to the job.

Rehabs and treatment centres are not on the therapist pages. They are quoted, because beds, nursing and family contact change the work. Start at rehab software in South Africa if that is the programme.

Reach + Within

Reach runs enquiries, bookings and invoicing. Within holds the clinical record. The handoff from the enquiry to the file is one step. Admin and finance users can bill and cannot open the note. Where the client has agreed, Assist drafts a session note. The clinician reviews, edits and signs. Assist does not diagnose and does not sign.

Outcome scales include PHQ-9, GAD-7, AUDIT, AUDIT-C, K10, WHO-5, PCL-5 and DUDIT, by secure link or on a check-in iPad, scored and charted. The public calculators at PHQ-9, GAD-7 and AUDIT are a screening tool, not a diagnosis, and they store nothing. They are not the client file.

Client data is hosted in the EU (Netherlands). You remain the responsible party under POPIA. We act as operator. We do not claim a certification. We do not claim a live link to Sage or Xero, two-way calendar sync, or medical aid submission. Sign-in with a second factor is coming soon. The trial is 30 days, with demo clients, and no card.

Profession pages go further, because the duties are not identical: psychologists, registered counsellors and social workers in private practice. Social workers in a department, doing statutory work, are not the audience of those pages.

Buy Reach + Within if the enquiry, the signed note and the invoice are split across tools, and if you can wait for medical aid claims. Do not buy it if claims, or a portal the client uses to reschedule, are the reason you are deciding this month.

Bookem

Bookem is the South African comparison we keep current. It publishes tiers for booking and for clinical work, including an electronic record and prescriptions on the tier we read. We do not add a claims-switching feature we did not see on their page. The dated comparison is Reach + Within and Bookem. Read their pricing page again before you treat our note as current.

Choose Bookem if the plan you need is the one they already publish for a South African clinic, especially where prescriptions or the medical workflow on that page match the week you run. Choose it if you have compared their bookable-member rules with the way your practice actually rosters people, and the rules fit. A practice that is well served by Bookem should stay. We would rather be clear than be briefly chosen.

Reach + Within is the better fit if you want one record from the enquiry to the signed note, with the front desk unable to open the note, and if direct invoicing is enough while claims are still marked as coming soon. It is the worse fit if you need the medical workflow Bookem already prints on its page.

Zanda, formerly Power Diary

Zanda, which many people still call Power Diary, publishes practice management for health practitioners, including pages aimed at South Africa: calendar, online booking, notes, invoices, reminders, telehealth and a client portal, as their feature list describes. That is a serious diary-led system. We do not claim the same portal or the same calendar sync.

Choose Zanda if clients must book online, if reminders and telehealth are already how you work, and if you do not need a residential treatment record. If your team already knows Power Diary and the product is now Zanda, staying put is a reasonable decision. The comparison under the name people search is Reach + Within and Power Diary. The UK pricing check, which is a different page and a different currency conversation, is Reach + Within and Zanda. Do not mix the two currencies in one decision.

Ask Zanda where a South African client record is hosted and what you should tell the client. Ask us the same question. Our answer is the EU (Netherlands), with you as the responsible party. Their answer should come from them.

Cliniko and other international diaries

Cliniko is used by allied-health clinics in more than one country. Appointments, notes and invoices are the core, and their public prices are in US dollars. A South African psychology or counselling practice can trial it. The reasons to be careful are the same as for any foreign diary: hosting, the transfer you will describe to the client, and whether admin can see the note. Our Cliniko comparison was written for UK readers and stays in that frame: Reach + Within and Cliniko. Use it for the product shape, not as a rand quote.

Carepatron is another international practice system with notes and a diary. The same tests apply: export, roles, and where the record sits. The comparison is Reach + Within and Carepatron, written from the UK pages. It is a pointer, not a South African price list.

SimplePractice is built and marketed around US therapy practices, including insurance claim filing and US health-privacy frameworks (HIPAA and HITRUST, as their own articles describe). Those frameworks are not POPIA. A South African practice should not treat a HIPAA badge as an answer to section 72 or to the HPCSA. The comparison, written for UK readers who meet the same product, is Reach + Within and SimplePractice. Put SimplePractice on the list only if you have a specific reason, such as existing US billing, and you have asked where the record would be hosted.

What this guide refuses to do

It does not invent an HPCSA endorsement. It does not quote an SACSSP retention period. Retention sources we have actually read are in how long to keep therapy records, and the HPCSA booklet quoted there is not a silent rule for every profession. It does not say medical aid claims are live in Reach + Within. It does not say Bookem does something we did not read. It does not pick a winner on cost, because this page has no fees on it.

The product pages for the work itself are therapy practice management software in South Africa and POPIA compliant practice software: what to check. The second of those is a list of questions to ask any vendor, including us.

United Kingdom practices should use the UK guide, best practice management software for therapists. The two markets are not one price list and not one regulator.

How to trial without moving a real file

Use demo clients for 30 days. In our trial there is no card, and nothing charges at the end. Run one enquiry, one note, one invoice and one export. Try the note as the receptionist. Read what you would tell a client about hosting, then see whether the product lets you say that sentence truthfully.

Watch the South African demos for roles and for how a PA bills. Amounts in those clips are illustrative and fictional. Then read Bookem again if claims or prescriptions are still the open question. If they are, and the other product already does the job, buy the other product.
